The Executive Assistant role is focused on the success of the Chief Executive Officer and, as a result, the company itself. The Executive Assistant will provide high-level administrative support to the CEO. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. Serving as the CEO’s liaison to a variety of stakeholders, including the board of directors, senior management teams, investors, surgeons, customers etc., the Executive Assistant organizes and coordinates internal and external executive communications and scheduling.

PURPOSE AND SCOPE:

The Executive Assistant role is focused on the success of the Chief Executive Officer and, as a result, the company itself. The Executive Assistant will provide high-level administrative support to the CEO. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. Serving as the CEO’s liaison to a variety of stakeholders, including the board of directors, senior management teams, investors, surgeons, customers etc., the Executive Assistant organizes and coordinates internal and external executive communications and scheduling.
The Executive Assistant must be creative and enjoy working within a highly dynamic entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and can balance multiple priorities. The Executive Assistant to the CEO will have a high level of professionalism in a manner that reflects positively on the organization. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

KEY RESPONSIBILITIES:

• Work with the CEO to apply prioritization to CEO scheduling and work activities
• Support CEO’s corporate objectives by preparing Word, Excel, PowerPoint presentations, agendas, reports, and other documents as needed
• Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations and/or personnel of the company
• Screen inbound communications and requests for CEO time, take and deliver accurate messages to ensure the CEO remains fully informed
• Arrange travel and accommodation for the CEO and prepare monthly expense reports
• Draft and prepare correspondence for internal and external announcements on behalf of the CEO
• Organize the CEOs complex calendars and schedules; resolving any scheduling issues
• Manage additional scheduling for CEO, including agendas, mail, email, phone calls, client management, contacts, and other company logistics
• Assist in preparing and managing presentations and decks
• Be responsive to emails/texts/phone calls, with contact outside normal business hours
• Use discretion, confidentiality, and good judgment to handle C-Level matters
• Represent the company and the Executive in a positive light through great follow-through skills and sound judgment
• Conserve the Executive’s time by reading, researching, collecting and analyzing information as needed, in advance

SKILLS AND QUALIFICATIONS:

• Bachelor’s degree required
• 5+ years of related experience required working in an senior executive assistant role supporting C-Level executives, preferable the CEO
• Proficiency with office productivity tools (Microsoft office suites) and an aptitude for learning new software and systems
• Excellent communication and time management skills; proven ability to meet deadlines
• Flexible hours as dictated by the needs of business for projects and meetings
• Ability to function well in a high-paced environment; performs additional duties as assigned by CEO
